Welcome Approval of 12/08/2007 Program Board Minutes Board Meeting Recap-ULA 2007 Elections Slate Timeline: We need to fill in Round Tables officers/positions that are unfilled. The question was raised How will we disperse info about open positions? We need to look for new ways to get the info out to the membership. Examples suggested: blogs, wikis, etc. Members present at the Board meeting and at the Program Board meeting will be working to fill those spots. Conference Program Proposals: Michael Whitchurch, Chair Conference Committee report: Michael Whitchurch passed around the design logo letterhead that has been created for the Conference in May 2007. ULA 2007 Conference Program (in its current form) was given to all attendees to review and discuss. Table Talk discussion: Ruby Cheesman had an idea for a display of booklists and materials for travelers and presenters to better disseminate and make available materials to all attendees of the Conference who might miss some programs. Debbie E. suggested a poster session location due to limited space. Ruby offered to write up an article for the ULA newsletter to get people interested and to coordinate the collection and centralization of materials. Amy Birks suggested that materials provided by presenters be available on the ULA website with electronic copies of handouts. These would be gathered by the Conference Coordinator for posting on the website by the Webmaster in time for the Conference in May. Speaker Contracts: these will be available for the conference presenters at the ULA Website (within 2 weeks.) Ranny Lacanienta, Julie Williamsen and the Conference Committee will be responsible for providing this. These forms must be filled out ahead of time. They will help get permission for streaming issues for presentations. Round Table Chairs and the Program Proposers are responsible for completing these in a timely manner. They should be mailed to Steve Pfeiffer, Utah Library Association, P.O. Box 708155 Sandy, Utah 84070-815 by April 1st, 2007. Julie said they are flexible, but proposers need to write up presenter terms. Contact Rebecca Boughan for Proposal details. Amy Birks asked to be added to the Program Board listserv/email list Travel: Contact Steve Pfeiffer (Executive Treasurer) for any travel reservations, transportation and accommodations for your Conference Presenters. The Airport shuttle to Provo is $60.00 round trip. Also save all your receipts for related expenses and submit them to Steve as well. Ideas for Next Year: Proposals and Submissions need to be made and accounted for by the Chairs of each Round Table who is sponsoring a conference program. A Guideline for ULA Round Table Chairs was suggested where a proposal must be approved of and signed off on before a program would be considered for the Annual Conference. Some attendees requested that the total number of spaces for conference programs be given, however the idea is to have a balanced Conference Program where a greater number of groups are represented, so this number is hard to know, Debbie E. suggested that each Round Table Chair who is proposing multiple programs prioritize there submissions so that they will have their best first if spaces are tight. Books at the Annual Conference: It was suggested that books by presenters be made available at the Conference for author signings. We will need to contact publishers right away (time is short!) Last year Deseret Books of St. George was the vendor. It was suggested that Dale Swensen (who is the Conference Vendor Liaison) be contacted about space first. Ruby Cheesman offered that she can help with the Deseret Books again with her friend Angie Godfrey who works in their Marketing Department in SLC.
