Review of Minutes -- --The links on the ULA website have not been updated yet, but will be. --There are changes to the board mtg. dates there is a meeting in November (see ula.org for new calendar from Dorothy Horan.) --Conference website is now live --Approval of 9/14/2007 Program Board Minutes --Steve Pfeiffer accepted responsibility for taking minutes of this meeting (Mary Lynn Sharpe put them on paper) Conference Planning ULA-MPLA Joint Conference, April 29-May 2, 2008 Where Paths Meet Connecting Libraries and our Communities --Sue Hill reported Hilton Salt lake City reservation staff told her few rooms still available at Conference rate. Jeff Belliston will check with the Hilton staff. --They are taking reservations by phone and giving the conference rates; but seems like theres an issue with the number of rooms. Conference Proposals-- --Conference Proposals have to be signed & acknowledged by the chair that is sponsoring when they are submitted!! --We will make a list, MPLA will make a list and then committee will develop the program from those lists --Ballpark estimate of how many sessions total there would be in the 3 day period. Jeff didnt have the information yet. He said soon Wayne Hanway of MPLA said maybe 60 or so (via telephone) --Darrah showed the proposal form on overhead of ULA Conference website proposals have to be submitted online --Emily Schultz needs MPLA roundtable, sections, and officers and needs names of Utah counterparts and vice versa. I told them wed do it first part of next week. --Trish Hull voiced her difficulty with online registration last year; that a programmer has to fix. It had to do with addresses for online registration and what you do if you dont have an address. It was recommended that as much info about your presenter available as possible to be given in the proposal. -----Question: Steve Decker (via telephone) if all forms are submitted on line and all need chair approval, how to we get submission to the chair to get it online? Chairs are going to have to be very involved in developing the classes. Chairs will be getting a lot of proposals. Also, emphasis on involving other libraries from MPLA states with our proposals so that we can do some cooperative presentations. Poster Sessions --Poster sessions should be approved by the program chair or committee, but dont need to go through round table chairs or other chairs. Poster sessions can be proposed by anyone. Suggestions: Have separate places for poster session proposals and class proposals on the website and say who can use each forms. Chairs, section & round table need to use the form for conference/meeting proposals. Poster session form can be used by anyone. --Vendors as presenters. Board prefers vendors not be presenters. BCR can do a presentation. In this discussion the people on the phone whose names I didnt get dominated the conversation, but the general feeling of the group is that we dont want vendors to present. There should be times when they can demonstrate their wares during the conference, but we prefer they not use up the program time. Speakers: --Keynote speaker Jim Rettig, ALA President Elect. He is using his own travel money to come, so there is some money. Great Issues Forum --Great issues forum ideas still under construction. Separate event which can be open to public Tues evening after exhibits reception? --Unknown yet what the issue will be --Suggestions: Connie Lamb suggested self-checkout and its impact on customer services. Someone else suggested discussion of library services for undocumented aliens. --Sarah Bosarge from the Marriott Library is going to coordinate a presentation on Government Information in the 21st century. --Genealogy and Local History Round Table will have pre-conference on with detailed training on family and local history research at the Family History Library and classes at the conference on how to help librarians with genealogy and local history in their communities. We dont have specifics yet. Other Items: --Dec 31 deadline for MPLA grant. --Outside contracts a few speakers have their own contracts. These speakers need to review our contract and then come up with a compromise. --Steve Pfeiffer, the treasurer, books the travel, reviews the contracts, and cuts the checks to pay and reimburse speakers. --Someone brought up the problem of arranging speakers who will be paid for travel, etc. Its difficult to ask them to commit to teach when you dont know if their budget will be approved or if you will have money to pay them. --It sounds like the chairs have to be very clear when they submit. We will know at the end of Dec. which proposals have been accepted. The board will make an effort to codify their selection criteria. Chairs of round tables and sections should prioritize the proposals before they submit them. The form will have a field where you can indicate the priority. --Mary Anne Heider (YART) asked if they have an author speaker can they sell their books. The group said sure it happens all the time.
