Pick up the speaker(s) "thank you" letter(s) and gift(s) at the Registration Center. 1. If one or more of your speakers were approved for an honorarium, and submitted a signed speaker contract to me prior to April 15, make certain that the check is included with the "thank you" letter. 2. If one or more of your speakers were approved for expense reimbursement, and submitted a signed speaker contract prior to April 16, make certain an expense voucher is included with the "thank you" letter. B. Make certain that your speaker(s) know the location of designated meeting room, and that the room and equipment requested for the session is ready for use. 1. If assistance with equipment setup is needed, contact ULA volunteers at the Tech Support Room on the 2nd level. 2. If assistance is needed to adjust lighting, air conditioning, heating, etc., contact ULA volunteers at the Registration Center on the main floor. C. Advise against making any changes in the setup of the room's configuration. Only OECC personnel are allowed to make such changes and there is a hefty fee for the labor. If tables and chairs get "moved around" during a session, make certain that seating is returned to the original configuration at the conclusion of the session. D. Designate someone to introduce your speaker(s). Give them the ULA Announcements sheet to read as part of the introduction. These announcement sheets will be at the registration desk with the thank you letters. E. Identify the session facilitator. This can be you or someone else. This person will: 1. Provide water for the speaker podium/table 2. Assist your speaker(s) with the distribution of handouts 3. Collect session evaluations if used, 4. Take an attendance count and report it to the Registration Center 5. Serve as a "runner" to alert Tech Support or the Registration Center of problems or needs during the session. 2) After the session: A. Present each speaker with the "thank you" letter and gift. B. Pick up Conference stationary at the Registration Center, compose a thank you letter from you and your committee, and give or mail to each speaker.
